Privacy Policy

This policy explains how Portals Hardware (“Portals,” “we,” “us”) collects and uses information through Portals Social Scan, an internal tool our sales team uses to stay up to date on the public project posts of the businesses we work with. It applies to information obtained through the Meta Platform (Facebook and Instagram) and from publicly available business websites.
1. What the tool does
Portals Social Scan helps our sales representatives see recent public posts from the business pages of our existing trade customers, such as glass fabricators, installers and dealers, so our team can congratulate them on completed projects and stay in touch. The tool is read-only. It does not post, comment, like, send messages or take any other action on Facebook, Instagram or any other site. Any comment a Portals employee leaves is written and posted personally by that employee.
2. Information we collect
We collect only information that businesses have made public on their own business pages and websites:
- The name, username and web address of a business’s public Facebook Page or Instagram professional account
- Recent public posts from those pages: the caption text, post date, link to the post and a link to the post’s image
- Links to the business’s social media pages and recent project or gallery pages published on its own website
We match this information to business account records we already maintain as part of our customer relationship, such as the company name, city and website.
3. Information we do not collect
- We do not access personal Facebook or Instagram profiles, private accounts, private messages, friend or follower lists, or any non-public content.
- We do not collect information about people who like, comment on or follow the pages we review.
- Members of the public do not log in to or use this tool, and we do not collect any information from visitors through it.
4. How we use information
Information collected through the tool is used solely to help Portals sales representatives identify and engage with our customers’ recent completed projects. We do not use it for advertising, ad targeting, profiling of individuals, or any automated decision-making.
5. Sharing
We do not sell, rent or license information obtained through the tool, and we do not share it with data brokers, advertisers or other third parties. It is available only to authorized Portals employees who need it to do their jobs. We may disclose information if required by law.
6. Storage, security and retention
Information is stored on systems controlled by Portals and protected by access controls. Access credentials for the Meta Platform are kept confidential and are never shared outside the company. Post information is kept only as long as it is useful for the purpose described above, and the list of business pages is reviewed and refreshed on a regular basis. Information is deleted when it is no longer needed.
7. Compliance with Meta Platform Terms
Our use of data received from Meta complies with the Meta Platform Terms and Developer Policies. If Meta or a page owner restricts access to content, we stop collecting it.
8. Data deletion and opting out
Any business or page owner may ask us to delete the information we hold about its page or to exclude its page from future review. Send an email to support@portalshardware.com with the subject line “Social Scan Data Deletion” and include the name of the business and the link to the page.
We will confirm the request, delete the related information and exclude the page from future reviews within 30 days.
9. Children
The tool reviews business pages only. It is not directed at children, and we do not knowingly collect information about anyone under 13.
10. Changes to this policy
We may update this policy from time to time. The effective date at the top shows when it was last revised.
